Volunteer Coordinator -Thessaloniki-WAVE

ABOUT THE PROJECT

WAVE Thessaloniki is a food project based in Thessaloniki, Northern Greece. The organisation serves hot meals every day of the week at an evening distribution, as well as offering limited other services such as showers, cleaning laundry, charging phones and distributing some NFIs on a daily basis. The project prioritises the undocumented population in the city as these people have much greater difficulty in accessing similar services elsewhere.

The project is formed by a mixture of international volunteers, and volunteers from within the community we are serving. This makes for a multinational, multicultural team. The operational hours are as follows: 14:30-20:30 on weekdays, 14:00-20:30 on Saturdays and 12:30-20:30 on Sundays. We work a 10-15 minute bus ride from the city centre and currently do all distributions outside because of the Covid-19 pandemic.

ABOUT THE ROLE

WAVE is looking for a volunteer coordinator to begin induction in May and take over in June. The role is based in Thessaloniki, Northern Greece and will require you to recruit and onboard enough volunteers to ensure operational capacity is fulfilled; and to be the focal point for volunteers’ emotional support and wellbeing and offer guidance during their time with WAVE. This role is part time.

Start Date: May 2022. There will be an initial handover period for 3 weeks which will be unfunded.

Minimum commitment: 6 months, part time.

Key responsibilities:

  • Managing the volunteer email inbox.
  • Maintaining an up-to-date profile with Indigo and being their main point of contact for recruitment.
  • Carrying out telephone interviews to determine if potential volunteers are a good match and then to respond accordingly.
  • Liaising with the coordination team about what specific roles are required for recruitment.
  • Be the first point of contact for any questions volunteers have before they arrive, including sending them all relevant information to plan their stay and arrival.
  • Ensuring, alongside coordinators, that key induction documents and policies are kept up to date.
  • Maintaining accurate records in spreadsheets regarding volunteer information (allergies, emergency contacts etc.)
  • Ensuring that the correct briefings and inductions are arranged and carried out with new volunteers – either by being present or ensuring they are carried out by other coordinators.
  • Attending team meetings and coordination meetings on a weekly basis.
  • Arranging and carrying out 1:1 check-ins with all volunteers (after the first few weeks of volunteering and after that monthly). Check-ins and Exit interviews are divided amongst all coordinators.
  • Arrange and conduct exit chats prior to the departure of volunteers.
  • Be the first point of contact for any emotional or wellbeing issues during volunteers stay.
  • Participate in shifts in the centre 2-3 days a week so there is a consistent presence within the organisation.
  • Provide incident debriefs where necessary (to be discussed in coordination meetings).
  • Report any incidents that cause concern relating to volunteer welfare as early as possible; pass on feedback about issues volunteers have raised (anonymously where required); maintain strict confidentiality about what is discussed in welfare check-ins.
  • Act as a representative for the volunteers’ welfare within the coordination team.

Operations Coordinator-Thessaloniki-WAVE

ABOUT THE ROLE

Wave is looking for an Operations coordinator to begin induction in May and take over in June. The role is based in Thessaloniki, Northern Greece and will require you to oversee and manage the daily organisation and running of the kitchen project of Wave. You will also be responsible for managing a team of up to 20 volunteers alongside three other coordinators. As operations coordinator your presence in the centre will be very important to manage the volunteer team, organise and ensure all tasks are completed in preparation for distribution, and act as the central contact person for all things related to the building and property of WAVE . We encourage all the team, including coordinators to take two days off a week, however, you should be flexible to step in when needed.

Start Date: May 2022. There will be an initial 3 week handover period during this time which will be unfunded, the role will officially begin starting June 2022.

Minimum Commitment: 6 months.

Key responsibilities:

  • Ensure that the daily operations of Wave Thessaloniki run smoothly.
  • Coordinate distributions alongside the other coordinators, and occasionally alone on their days off.
  • Managing and/or signposting of particular vulnerable cases or emergencies (e.g.
    unaccompanied minors).
  • Maintaining good relationships with partner organisations and forging new ones.
  • Managing the team of volunteers, including assisting the other coordinators in volunteer inductions and check-ins, organising kitchen trainings for new volunteers to become familiar with the project and the various tasks, be available and ready to mediate any potential conflicts amongst the team.
  • Ensure that safeguarding measures are understood and met.
  • Managing any issues related to the building or other property of the project e.g liaising with local actors to sort any potential plumbing or electrical issues, liaising with donors and other actors to facilitate and improve the services offered.

Requirements:

  • Fluent in English.
  • Experience in working with people on the move/refugees or in a similar field of working with vulnerable people.
  • Ability to stay in Greece for 6 months or beyond.
  • Drivers licence, ability to drive manual, and willingness to drive a van.
  • Ability to work under pressure in a fast-paced environment
  • Good prioritisation and organisational skills
  • Excellent understanding of, and ability to maintain, appropriate boundaries with
    people that we serve.
  • Ability to work in a team, excellent communication skills for regular meetings with the team and fellow coordinators.
  • Experience managing a team. Experience with mediation and conflict resolution preferred.

Desired:

  • Fluent in Greek or some knowledge of the Greek language.
  • Knowledge of Farsi, Arabic or French is also useful.
  • Experience of organising and leading distributions.
  • Experience working in a kitchen environment, ability to cook is desirable.
