Operations Coordinator – Athens – SAFFRON KITCHEN PROJECT

Saffron Kitchen Project (SKP) supports displaced persons by creating opportunity and

fostering community through food. We are a registered non-profit organisation that

creates high quality, nutritious meals for vulnerable communities in Athens. Inspired by

multiple cultures and traditions, we aim to do three things simultaneously: Nourish, Train,

Employ.

Our first pillar – Nourish – entails providing people with warm, nutritious and

inventive meals in a dignified and sustainable way. We partner with several

organisations that support vulnerable people throughout Athens, distributing

delicious meals whilst avoiding food waste as much as possible.

The second pillar – Train – offers free culinary education and vocational training in

partnership with IEK Delta. In an effort to prepare our students for work in the hospitality

industry, the programme comprises culinary skills as well as soft skills training such as

teamwork, leadership and time management. Upon completion students will receive a

recognised EOPEP certificate which will aid them in entering the job market.

Finally, the third pillar – Employ – demonstrates our commitment to tackling

unemployment in Greece by not only employing but also generating job opportunities for

people from the refugee community.

We are looking for an enthusiastic, highly organised and creative Operations Coordinator

to join our team

RESPONSIBILITIES

  • Maintain and assist with keeping good relationships with partner organisations, and expand SKP’s network in Greece and beyond

Procurement

  • Manage weekly logistics and procurement procedures for items needed for the project (eg.: food items, kitchen equipment)
  • Maintain good working relationship with local suppliers
  • Work closely with the kitchen team on menus/quantities and needs

Culinary Training

  • Responsible for the successful implementation of activities in the partnership with IEK Delta
  • Recruitment of students and aftercare
  • Working with our partner organisation for employability services
  • Guarantee that all project tasks are relevant and up to date, as well as planning, managing and executing programmatic changes when needed.
  • Ensure that all project tasks are delivered within scope and budget.
  • Regular reporting and active collaboration with the Director to ensure the constant and sustainable development of the training

Social Media

  • Improve and further develop our communications and social media strategies with the support and guidance from the Director
  • Create unique and exciting content for Social Media (Facebook, Instagram), track results and improve our performance
  • Responding to enquiries received through social media channels or passing onto others where appropriate
  • Keep our website content and design always updated with accurate information and our latest news and projects
  • Support with photography and video content according to our Policy
  • Develop, edit and upload articles for our different platforms as well as any outreach/marketing materials

Marketing & Fundraising

  • Newsletter development and distribution
  • Support and develop marketing and merchandise opportunities for the organisation
  • Assist with the development of the organization’s fundraising campaigns strategy
  • Assist with the implementation and design of fundraising campaigns

ESSENTIAL REQUIREMENTS

Fundraising and Advocacy Officer – Athens – VELOS YOUTH

We are co-recruiting a highly organised, passionate and dynamic individual to join us as a fundraising and advocacy officer. The role will involve working with Action for Women, Mazí Housing and Velos Youth on collaborative fundraising applications and advocacy campaigns. Our collaboration is built on our shared approach of providing safe spaces and facilitating the formation of communities, access to equal opportunities and choice for displaced communities.

You will be crucial to ensure that we continue providing vital services for our participants in 2025, as you lead the development of our annual fundraising plans to ensure that our financial goals are met for 2025/2026 with grant applications and online fundraising campaigns.

You are expected to be based in Athens as we believe that the successful candidate must immerse themself in the essence of our work and our day-to-day operations, understand how we work and why. The successful candidate will therefore be encouraged also to join us once a month in various forms. Core responsibilities:

  • Research for grant opportunities from foundations and the European Union, that align with our missions and goals of the collective and each individual organisation.
  • Develop persuasive grant proposals that effectively communicate our goals, objectives and strategies to potential funders, with accurate supporting documentation based on funding requirements of the potential donors.
  • Develop creative new ways to effectively engage the public with support for our work,
  • including developing advocacy campaigns, while maintaining positive relationships with
  • stakeholders and current donors in continuing to support our work.
  • Create compelling content for advocacy campaigns aligned with our shared values.
  • Maintain and submit timely records/reports related to grant opportunities, while maintaining accurate records of submissions and outcomes.

Who are you?

  • You are a native English / Greek speaker with an excellent command (B2/C1) of the other (written and spoken). We are international teams, our main language of communication is in English.
  • Thorough understanding and knowledge of the forced migration context in Greece is mandatory. Previous experience working / volunteering with other organisations will be prioritised.
  • Mandatory: You have a proven track record in fulfilling complex requirements and crafting successful tailored grant applications / fundraising campaigns.
  • You have experience in engaging with private companies for fundraising initiatives, particularly through Corporate Social Responsibility (CSR) programs, including successfully securing funding and building long-term partnerships.

Position Objectives

Carrying out or supervising all maintenance logistics activities in the base (vehicles, fuel consumption, and local infrastructure) according to MSF standards and protocols in order to have the material, infrastructure and vehicles in optimal running conditions

Responsibilities Of The Position

  • Planning vehicles movements, tracking individual trips, and ensuring implementation of security measures
  • Tracking consumption of supplies, fuel, lubricants, used in different facilities (office, house, store, etc.).

  • Performing maintenance of logistics equipment for cold chain, energy, IT and radio communications, in particular:
  • Inventories and the reallocation of equipment.
  • Renewing the authorization to use radio material with local authorities.
  • Checking the quality of the work carried out on generators and electrical installations.
  • Preparing orders for his sector activity, do the follow-up, and checking their proper reception and state.
  • Carrying out local purchases and ensuring that the line manager is aware of any problems linked to the quality or availability of the items to be purchased.
  • Participating in trainings at the request of the line manager
  • Report any technical issue with Fleet and ICT assets to the Team Leader/Field Coordinator as direct supervisor and to Logistic coordinator/Log manager as technical responsible
  • Support Medical and distribution activities according to supervisor requests (Kits distribution, crowd control, etc.)
  • Perform basic troubleshooting for all technical families (fleet, ICT).
  • Follow up on Log and Supply-related administrative tasks (bills/invoices, quotations, etc.)
  • Support Med dept. in collect, store and destroy Medical wastes according to medical department instructions

Position Objectives

Provide medical care to patients within the target population (adults; refugees/migrants being victims of torture, violence and/or sexual violence), according to adapted and updated medical knowledge, MSF protocols, values and universal hygiene standards to improve the patient’s health condition. A proportion of the work is managing the somatic part of mental health related conditions as part of a multi-disciplinary team including a psychiatrist, psychologists and social workers as well as not mental health related somatic conditions.  Responsibilities Of The Position

  • Apply medical knowledge and skills to diagnose and prevention. Carry out outpatient and inpatient consultations, prescribing the necessary treatment respecting MSF protocols.
  • Keep the patient and/or his/her family informed about the illness and provide appropriate explanations about the treatment to follow, checking they have understood.
  • Follow up the evolution of the hospitalized/IDP patients, through daily visits , consultations and examinations, prescribing the necessary treatment following MSF protocols, deciding whether they can be discharged or transferred to other departments – in collaboration with other doctors- and informing their family about the patient’s evolution.
  • Check and control the rational distribution of medicines and equipment under his/her responsibility and take care the quality, disinfection and sterilization of the medical material. Assure general compliance with standing hygiene standards.
  • Participate in the collection and analysis of epidemiological data, checking its validity and informing the line manager or project coordinator about any problem or complication of the patients illness, medical error and monitors the proper functioning of the department, equipment or material.
  • Ensure ongoing training of the medical/paramedical multidisciplinary team in order to optimize the quality of care.
  • Knows and ensures all MSF medical protocols are followed and implemented, checking universal precautions are followed at all times and reducing bio-hazard risks and improving infection control. Ensures professional confidentiality is respected.
  • Manage the team under his/her direct responsibility according to MSF HR policies and procedures, supervising their performance, organizing and scheduling shifts and rotations, directly participating in emergencies and on calls if necessary.
  • Actively participate in a multi-disciplinary approach between professions.

Responsibilities Of The Position

  • Knowing, promoting, implementing and following up the universal hygiene standards/ precautions, bio-hazard prevention and infection control, security rules and other protocols and procedures in the medical premises and ensuring high standards of hygiene of his/her working environment.   • Organizing and carrying out care and treatments according to medical prescriptions, and assisting during consultations, daily rounds and other medical procedures. Participating in health education of the patient (and family) when necessary.
  • Identifying Sexually Gender Based Violence victims and referring them to the medical team so they can receive the necessary treatment. Knowing and is aware of the importance and appropriate use of the Post Exposure Prophylaxis (PEP) Kit
  • Ensuring patients are properly received and installed and that those with lack of autonomy are assisted, especially regarding their feeding, personal hygiene, movements and comfort. For ER and OPD nurse, ensuring triage of patients in waiting areas, wards or during emergencies, detecting the priority acute/emergency cases,  carrying out first aid care and referring them to the doctor when necessary
  • Sending material to be sterilized and recuperates it from sterilization
  • Carrying out admission, surveillance and follow-up of patients (i.e. assessment of the evolution of their state of health and the identification of any emergency situation or deterioration
  • Carrying and supervising administrative procedures and documents (fill in patient’s files, forms, consumptions, statistics, registers, health files, etc.), ensuring an appropriate written/oral handover, and reporting any problematic situations and cases that may arise. Participating in data collection and keeping doctors/supervisors informed .
  • Participating in the department-related pharmacy and medical equipment control and maintenance (quality and its functioning, storage conditions, follow-up of expired drugs inventories, stock takes of medicines and material at every team changeover ensuring no material is taken out of nursing area/wards without prior authorisation, etc.)
  • Perform cleaning and minor maintenance  for  biomedical equipment used. Fol-lowing the user manual and  protocols and alert supervisor in case of malfunctioning.
  • Supervising and training nurse-aids, nutritional assistants, cleaners and other related staff under his/her supervision, ensuring teamwork and adherence to all appropriate protocols and procedures
  • Simple wounds assessment and management
  • Educating the patient in health practices according to MSF guidelines. In collaboration with HP, promote the dissemination and formulation of health messages and good practices
  • Working collaboratively with the MD to determine if additional treatments or changes in care plan are required.
  • In collaboration with MD, facilitate the referral of patients to second level of care when needed
  • Helping, and supporting in triage when it is needed.
  • Possible serving as a focal point in medical communications with external partners, including Hospital Med Dept and CSOs
  • With the support of the Pharma Mission and PMR, participate in pharmacy management with consumption monitoring and order preparation.

  • Identify and refer to the MD or Midwife vulnerable patients, including survivors of violence, sexual violence and survivors of torture (including women undergone female genital mutilation -FGM-), pregnant women and people with chronic medical condition and/or disability that required special attention, elders and unaccompanied minors. Multidisciplinary collaboration and a close follow up is required to provide adapted care in these cases.
  • Identifying Sexually Gender Based Violence victims and referring them to the medical team so they can receive the necessary treatment.
  • Organizing and carrying out triage in the Mobile Clinic as well as in Daily Care Clinic, prioritise acute/emergency cases. Provide care and treatment according to medical prescriptions, and assisting the MD during consultations, performing medical procedures when required (including bed side tests).
  • Participating in health education of the patient (and family) in collaboration with the HP department
  • Carrying out and supervising administrative procedures and documents (fill in patient’s files, forms, consumptions, statistics, registers, health files, etc.), ensuring an appropriate handover of statistic to the data encoding, and reporting any problematic situations and cases that may arise. Participating in data collection and keeping doctors/supervisors informed.
  • Ensuring efficient management of medical stock in the mobile clinic and the DCC depending on drug consumption or previewed in case of alternating work conditions in all consumption units.
  • Support the pharmacy manager / supply officer to do monthly physical inventories.
  • Ensure timely and adequate management of internal requests in collaboration with the supply unit and identify possible medical stock rupture.
  • Ensure identification and removal of expired drugs from project pharmacy and share list to PMR and Pharmacy Manager for monthly disposal.
  • Reporting any unusual or unexplained prescription and consumption to the PMR
  • Perform cleaning and minor maintenance for biomedical equipment used. Following the user manual and protocols and alert supervisor in case of malfunctioning.

Position Objectives

Execute the pharmacy/medical warehouse storing activities in order to keep pharmacy stock above security level and following recommended conditions (temperature, humidity, etc.) under the supervision of the PMR (Project Medical Referent) and technical referent from the Pharmacist Manager.

Responsibilities Of The Position

  • Supervising material orders and dispatching in order to ensure rational use.
  • Receiving orders and deliveries, identifying potential disparities against cargo manifest or others and reporting them, and stores materials in accordance with the system in force, in order to ensure continuous availability. It includes:
  • Ensuring good storage conditions of all medical items in the pharmacy in accordance with pharmaceutical standards in order to ensure continuous availability.
  • Ensuring correct fill in entries on the stock cards and software.
  • Carrying out or participating in regular inventories .
  • Following up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months.
  • Preparing orders of the different consumption units (departments, wards, others), ensuring proper packaging and dispatching and reporting any anomalies or changes in consumption patterns to the Pharmacy Supervisor. Informing Pharmacy Supervisor as soon as stock reaches alert limit.
  • Controlling warehouse facilities in order to ensure materials are kept in good keeping conditions, it includes:
  • e.g. Monitoring temperature in the warehouse and e.g. Ensuring that products requiring cold chain are suitably stored and transports received, stored, and prepared and transported appropriately according to MSF Supply and Cold Chain protocols.
  • Ensuring cleanliness of premises (stock pharmacy) and in close collaboration with the logistics department, maintaining refrigerating equipment.
  • Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regards to damage, loss, attempted break-ins or theft in the warehouse.
  • Ensuring that items to be quarantined (on-going quality alerts) or to be placed in quarantine zone (batch recalls, expired or damaged items) are removed from the stock and safely locked.
  • Following up stock levels with regards to alarms thresholds, stock out, expiry dates and drugs to expire in the following 6 months. Preparing reports and passing it to the supervisor.
  • Ensuring of the proper encoding of all the data in the software (Isystock)

  • Desirable experience in MSF or other NGOs in developing countries.

  • A minimum of five (5) years of relevant professional work experience engaged in programme/project management with and for Roma communities
  • Experience in working with Government institutions in Greece is an asset.
  • Experience in working with Social Services in Greece is also desirable.

  • Fluency in English and Greek is required.
